Guide to Writing a Professional Business Letter

There are many day to day business dealings that require proper letter form, from introducing your business to bidding on a job or contract as well as emails. I can not tell you how many times I receive an email from someone I’m unfamiliar with and it’s a one sentence email lacking a greeting or even their name.

Begin your letter or email with a proper greeting

Dear Human Resources Director,
Dear Sir or Madem, (if you are unfamiliar with the party)
Dear Mr, Mrs, Miss or Ms
Dear John if you are close as a friend or business associate)

Reference what you will be discussing in the letter

Inquiring about your used cars and how they are detailed.

Main Body

The reason and or subject of your letter. For example: I am enquiring about… or I am writing to confirm our travel dates of…

Closing Remarks

Here you will thank the addressee, complement and or wrap up the letter them. For example: In closing I hope you wil find this information of value…

Signature

Yours faithfully, (if you do not know their name) Yours sincerely (if you know the name of the perosn you are addressing). Best wishes or Best Regards. For example:
